  • Overview

    Operates a multi-line telephone system by answering incoming calls and directing callers to appropriate personnel.  Greets all visitors in a professional and courteous manner; monitors visitor access. Receives, sorts, and routes mail, email, and faxes.


    1. Answers incoming telephone calls in a polite and professional manner.
    2. Determines caller’s needs and routes calls to appropriate personnel.
    3. Takes and delivers messages as needed.
    4. Greets all visitors in a professional and courteous manner.
    5. Receives, sorts, and routes mail, emails, faxes, and publications to appropriate personnel or department.
    6. Maintains postage machines and ensures timely preparation of outgoing mail.


    1. High school diploma or general education degree (GED) required.
    2. Previous related experience strongly preferred.
    3. Outstanding customer service skills required.
    4. Ability to operate general office equipment such as computer, copier, fax machine, scanner, projector, postage machine, and multi-line telephone system.
    5. Ability to communicate verbally in one-on-one situations with management and co-workers; listen to others without interrupting and get clarification when needed.
    6. Ability to apply basic math, including adding, subtracting, multiplying, and dividing in all units of measure, using whole numbers, common fractions, and decimals.
    7. Strong attention to detail and focus on quality and accuracy.
    8. Exhibits dependability, including following instructions; responding to direction; and taking responsibility for own actions.
    9. Ability to take initiative, including asking for and offering help when needed; performs work independently without being prompted.
    10. Ability to prioritize and plan work activities; use time efficiently; and work within deadlines.
